Project Coordinator

Job Summary-

The Project Coordinator is responsible for assisting in overseeing the day-to-day operations of different projects with Project Managers. Assists Project Managers and Safety Director with staying on track, preparing documentation for customers as well as building relationships with contractors and vendors.

Responsibilities/ Physical Demands 

  • Provide clerical/administrative support for project team as requested
  • Coordinate project management activities, resources, equipment, and information
  • Work collaboratively and build effective relationships with GC, builders, site operations, vendors, project managers and customers
  • Follow up on submittal packages sent to approving authority, process received/reviewed/approved submittals, review of engineer comments with vendors, suppliers & subcontractors and incorporation of such into any required re-submittals
  • RFI management
  • Project Execution and Document Control – Create and maintain comprehensive project documentation, plans and reports.
  • Assign tasks to internal teams and assist with schedule management
  • Assist Safety Director with overseeing and implementing all safety requirements for job projection
  • Manages and updates Safety drive
  • Assist Estimating Team, obtain plans/specs for bidding projects, updates Accubid with bidding opportunities
  • Issue, schedule inspection and maintain city electrical permits
  • manage the financial plan and consistently evaluate the project budget
  • Coordinate and set up new customers and our jobs in system to include document maintenance
  • Set up new jobs
  • Enter project change orders, document approved change orders; file electronically and distribute to appropriate team members
  • Project setup
  • Assists Project Manager(s) in contract reviews and execution of master contractors and subcontracts
  • Assists with collecting all documentation for complete project closeout in accordance with the requirements set forth in the GC contract
  • Generate panel schedules for PMs
  • Manages certificates of insurance (COI)
  • Manage job completion dates
  • Ensure that projects are completed on schedule and within budget
  • Provide Project Manager job reports
  • Must be able to lift at least 20 lbs.

Skills

  • Strong organization skills including multitasking 
  • Solid client-facing and teamwork skills 
  • Excellent working knowledge on Microsoft, Bluebeam, Basic Microsoft Word and Excel capability
  • Pleasant, outgoing individual that seeks excellence in job performance
  • Minimum 2 years’ construction or customer service experience with some supervisory or project oversight experience preferred.
  • Some understanding of construction processes
  • Problem and conflict resolution skills, ability to prioritize work tasks, and teamwork and customer satisfaction orientation is required

Job Requirements

  • Proven work experience as a Project Coordinator or similar role, previous experience in construction field is a plus
  • Must have valid Drivers’ License
  • Must be able to read and write proficiently in English 
  • High school Diploma/GED required
